At VozIA (operated by Futurist Systems), we take the protection of your personal data very seriously. This policy explains how we collect, use, and protect your information when you use our multi-channel AI communication services.

Data we collect

We collect information necessary to provide our service: account data (email, name), business information, call logs, and reservations. We also collect technical data like IP address and browser type to improve the service.

Messaging data (WhatsApp, Instagram)

When you connect your communication channels, we collect: messages received and sent via WhatsApp Business API, Instagram direct messages, public comments on your Instagram posts, user identifiers (phone numbers, Instagram IDs), and conversation metadata. This information is processed to provide automated AI responses.

Artificial Intelligence Processing

Your customers' messages are processed by artificial intelligence systems (Claude/Anthropic via OpenRouter) to generate automated responses. Message content is sent to these AI providers exclusively to generate relevant responses. We do not train AI models with your data or your customers' data.

How we use your data

We use your data to: provide the virtual receptionist service and automated responses across multiple channels, manage reservations, improve service quality, send you account-related communications, and comply with legal obligations.

Data sharing

We don't sell your data. We share information with service providers necessary to operate: Retell.ai for voice, Supabase for storage, Meta (Facebook/Instagram/WhatsApp) for messaging, and OpenRouter/Anthropic for AI processing. We also share data when required by law.

Meta Platform Data (Facebook, Instagram, WhatsApp)

When you connect your Instagram or WhatsApp Business account, we access data provided by Meta Platform according to their policies. This includes: Instagram page profile, received direct messages, post comments, and WhatsApp Business data. We comply with Meta Platform data policies and European GDPR.

Data retention

We keep your data while your account is active. Call logs and messages are retained for 12 months. Instagram comments are retained for 6 months. You can request deletion of your data at any time.

Data deletion

You can request complete deletion of your data at any time by contacting ai@futurist.systems. For Meta Platform related data (Instagram, WhatsApp), you can also use the data deletion option in your Facebook/Instagram account settings. We process deletion requests within a maximum of 30 days.

Your rights (GDPR)

You have the right to: access your data, rectify it, delete it, port it, object to processing, and withdraw consent. For Meta Platform data, you can also exercise your rights directly in Facebook/Instagram privacy settings. Contact us to exercise these rights.

Security

We implement technical and organizational measures to protect your data: encryption in transit (TLS) and at rest (AES-256), encrypted API keys, restricted access via authentication, regular security audits, and row-level security (RLS) policies in our database.

Third-party services

We use the following third-party services: Supabase (data storage, EU), Retell.ai (voice processing), Meta Platform (WhatsApp Business API, Instagram API), OpenRouter/Anthropic (AI processing). Each of these services has their own privacy policies that we recommend you review.
